This Refund Policy explains how cancellations and refunds are handled for event registrations and other services purchased from Twenty Three Seven Communications DMCC (“237 Communications”, “we”, “us”), a company licensed in the Dubai Multi Commodities Centre free zone, United Arab Emirates.
By completing a registration and payment on this website you confirm that you have read, understood and accepted this policy.
1. Scope
This policy applies to registration and delegate fees paid online through this website for conferences, symposia, workshops, training sessions, activations and other events organised or managed by 237 Communications.
Where an event is governed by a separate written agreement, sponsorship contract or a set of event-specific terms issued by us, those terms take precedence over this policy to the extent of any conflict.
2. Fees and currency
- We operate in both the United Arab Emirates and the Kingdom of Saudi Arabia. Registration fees are quoted and charged in UAE Dirhams (AED) or Saudi Riyals (SAR), depending on the event and the entity invoicing it.
- The currency that applies to your registration is stated on the event page and shown again on the checkout screen before you confirm payment. The amount you are charged is the amount displayed in that currency.
- Payments are processed securely by our payment service provider, PayTabs. We do not store your full card details on our systems.
- If your card is issued in a currency other than the one charged, your bank applies its own exchange rate and may add a foreign transaction fee. These bank charges are set by your bank, not by us, and are not refundable by us.
- Registration is confirmed only once payment has been received in full and we have sent you a written confirmation by email.
3. Cancellation by you
To cancel a registration you must notify us in writing at [email protected]. The refund due is calculated from the date we receive your written cancellation, not the date you decided to cancel.

The administration fee covers non-recoverable payment processing and booking costs already incurred on your registration.
4. Substitutions and name changes
If you cannot attend, you may transfer your registration to a colleague at no charge, provided you notify us in writing at least three (3) business days before the event start date and the replacement delegate meets any eligibility criteria published for that event.
A substitution is usually the fastest option for a delegate who can no longer attend, and it remains available even after the refund window in Section 3 has closed.
5. Non-attendance
If a registered delegate does not attend the event and has not cancelled in writing in accordance with Section 3, the registration fee is not refundable and cannot be credited against a future event.
6. Postponement or change by us
If we postpone an event or materially change its date, your registration is automatically transferred to the new date and no further payment is required. If the new date does not suit you, you may instead request:
- a credit for the full amount paid, valid for twelve (12) months against any other 237 Communications event; or
- a full refund of the amount you paid.
Requests under this section must reach us within fourteen (14) calendar days of our notice of the change.
If we materially change the venue or move an event between in-person and online delivery, the same options apply.
7. Cancellation by us
If we cancel an event outright and do not offer an alternative date, you will receive a full refund of the registration fee, with no administration fee deducted.
Our liability in these circumstances is limited to the registration fee you paid. We are not responsible for travel, visa, accommodation or other costs you may have incurred, and we recommend that delegates arrange appropriate travel insurance and book flexible fares where possible.
8. How to request a refund
Send your request to [email protected] with the following details:
- The delegate’s full name and the email address used at registration
- The event name and date
- Your order or transaction reference number
- The reason for the request
We acknowledge every refund request within two (2) business days and confirm our decision in writing within seven (7) business days of receiving the complete information above.
9. How refunds are paid
- Approved refunds are returned to the original payment method and card used for the purchase. We cannot refund to a different card, to a third party, or in cash.
- We process approved refunds within fourteen (14) business days of confirming the refund to you.
- After we process the refund, your bank or card issuer typically takes a further five (5) to ten (10) business days to show the credit on your statement. This part of the timeline is controlled by your bank.
- Refunds are issued in the same currency as the original transaction — AED if you were charged in AED, SAR if you were charged in SAR. We cannot refund in a different currency from the one charged.
- Where your card is denominated in a currency other than the one charged, the amount you receive may differ from the amount originally debited because of exchange rate movement between the purchase date and the refund date. This difference is set by your bank and is not recoverable from us.
10. Duplicate or incorrect charges
If you believe you have been charged twice for the same registration, or charged an incorrect amount, contact us at [email protected] as soon as possible. Verified duplicate or erroneous charges are refunded in full, without any administration fee, and are not subject to the cancellation schedule in Section 3.
11. Chargebacks
If you have a concern about a payment, please contact us first. We will always try to resolve the matter directly and quickly. Raising a chargeback with your bank before contacting us can delay resolution considerably, as the funds are then held by the card networks until the dispute process completes.
12. Circumstances beyond reasonable control
If an event cannot proceed because of circumstances beyond our reasonable control — including but not limited to natural disaster, epidemic or public health restriction, war or civil unrest, act of terrorism, government order, or failure of essential utilities or venue infrastructure — we will offer a transfer to a rescheduled date or a credit valid for twelve (12) months. Where neither can reasonably be offered, we will refund the registration fee less any costs already irrecoverably committed to third parties on your behalf, and we will tell you what those costs are.
13. Services other than event registration
Fees for agency services delivered under a separate proposal, statement of work or purchase order — including creative and design, video production, event management, digital innovation and medical content development — are governed by the payment and cancellation terms of that specific agreement rather than by this policy.
